For universities: dean's offices, continuing education, alumni relations

Your lecturers already have the slides. Turn them into a course library graduates come back for.

AI turns one lecture deck into a self-paced course: readings, quizzes, flashcards and a final test with a certificate. Students and alumni get a library under your university's logo, and they see the next programme where they already learn. One person in the dean's office runs it.

  • A PPTX or PDF deck goes in, a course with quizzes and a certificate comes out
  • Students and alumni need no password: a link or an e-mail code, a portal under your logo
  • Progress report per person, CSV export, cohort mailing and tasters of new programmes

Decks already sitting on the faculty's drive

Students and alumni get

Your logo and colours, progress, certificates, access after graduation

The same library during the degree and after it. The next programme shows up where the graduate already learns.

Why a library brings graduates back

Graduates come back to where they still learn

Postgraduate schools have known for years that the cheapest new student is the one who already was one: US continuing-education units spend an average of 2,849 USD of marketing per enrolled student (UPCEA, 2024), while an alumni discount costs a fraction of that. A course library turns that mechanism into a weekly habit instead of one recruitment push a year.

  1. Students learn in the library

Courses built from lectures back up the classes: exam review, a quiz, flashcards on the phone. A portal under your logo becomes the place people return to.

  2. Access stays after the diploma

An alumni cohort has no end date. The same e-mail address opens the library next year and in five years, and new courses arrive every semester.

  3. A taster of the next programme

The first module of a new postgraduate or executive programme lands in the same library. Graduates try it before they ask about the price.

  4. They enrol where they already have an account

A cohort e-mail and a button to admissions. Trust, lecturers and certificates are already on your side, not at a competitor's.

We do not promise a percentage. The calculator below shows what one point of re-enrollment is worth to you, and the cohort report shows who is still learning. Who came back for a degree, your admissions office knows.

Why today's way fails

Slides die on the LMS after the exam period, and alumni only get a newsletter

Four things we hear from dean's offices and alumni teams, and what Verbalu does about each.

  • "The material is on Moodle, but students lose the account after graduation."

An alumni cohort lives next to the LMS: entry with an e-mail code, no password, for years. The courses stay and new ones arrive.

  • "Building one e-learning course with an agency takes weeks and thousands."

AI drafts a course from a deck in about fifteen minutes: chapters, readings, quizzes, flashcards, a test. A designer or the lecturer edits instead of building from scratch.

  • "Lecturers won't hand over their slides, and the dean's office has no headcount for this."

The lecturer stays the author and sees their name on the course. The dean's office uploads a file and invites a cohort; the rest is clicks, not a project.

  • "We have no idea whether alumni even open what we send."

The cohort report shows progress per person and the module where people stall. The "you haven't visited in 30 days" e-mail goes out by itself.

How it works

Four steps from a deck to a library people come back to

One person in the dean's office, one account, the first course the same day.

  1. Collect the decks

Ask lecturers for the PPTX, PDF or DOCX files of one programme's lectures. A short consent to reuse them and the author's name on the course is all it takes.

  2. Generate the course

Upload a deck to the course wizard. AI reads the text (long files in parts) and proposes a path: readings, quizzes, flashcards, gap-fill exercises, a final test. Fixes are one sentence.

  3. Brand it and open a cohort

Your logo and colours, a programme grouping one degree's courses, a cohort per year group or intake. Entry by link, password or e-mail code. The welcome e-mail sends itself.

  4. Watch the report, add courses

Progress per person and a CSV for leadership, a certificate on completion. Every semester a new course and a taster of the next programme, which the cohort hears about by e-mail.

Sample

One lecture deck, one course

This is the draft AI proposes from 42 slides. The dean's office or the lecturer reorders it, deletes a module or asks for a different one in a sentence.

Goes in

Consumer behaviour

42 slides · PPTX · 6 chapters

Author: Dr Anna Novak, School of Management

Comes out

Course: Consumer behaviour (about 2 hours)

  1. Reading: Needs and motivationFrom chapters 1-2, with the lecture's examples
  2. Quiz: 8 questionsSingle and multiple choice, true or false
  3. Reading: The decision processFrom chapters 3-4, the five-stage model
  4. Fill the gaps: decision stagesDrag the words into the definitions
  5. Reading: After the purchaseFrom chapters 5-6, dissonance and loyalty
  6. Flashcards: 20 termsFor review on a phone
  7. The original deckFile to download, with the author's name
  8. Final test and certificatePass mark, PDF with your university's logo

Every module is an ordinary Verbalu tool that opens and edits on its own. A course can also be assembled by hand, without AI.

Calculator

What one percentage point of re-enrollment is worth to you

Five numbers the dean’s office knows by heart. In return: how many more graduates come back a year, what that is in tuition, and how large a library it takes to chase it.

Tell us about your university

Postgraduate, executive, a second master's, a second degree. If you don't know: 5-10% is a common starting point.

Be conservative: 1-3 points in the first year. The calculator counts, it does not promise.

One deck = one course. Start with one programme.

60 more graduates a year, about US$360,000 in tuition

About 160 come back a year today (8%).

  • The library: 12 courses, about 96 modules to work through.
  • The same library serves the year group and the alumni: student accounts take no seats on the university plan.

Assumptions: one deck is one course of about 8 modules (readings, a quiz, flashcards, gap-fill, the source file, a test). You count the returns on your side; the calculator only shows the scale.

What students and alumni see

Your university's portal, not another platform

Nothing to install, no password, on a phone and on a computer. The university is up front, Verbalu is in the footer.

  • Your logo and colours

The student screen carries the university’s brand: logo, colours, name. A learning programme has 10 looks to choose from.

  • Courses in order, with progress

One degree's library as a programme: courses one after another, a progress bar, modules that open in time windows or at once.

  • Quiz and flashcards on the phone

Review on the bus: 11 question types, flashcards, gap-fill. The score at once, progress saved after every click.

  • A PDF certificate

After passing the course, a certificate with the name and the university's logo, sent by e-mail. Your own template in the Certificates tool.

  • Entry with an e-mail code, for years

A graduate types the address, gets a code, walks in. The same address opens all their cohorts on one page, next year and in five years.

  • Three interface languages, 38 for content

The portal in English, Polish and Spanish. You generate the course in the language of the lecture, also for international students.

More about the Cohorts tool

Dean's office and faculty leadership

Extra value for students that one person can launch

No headcount, no LMS tender, no waiting for an IT project. Decks from one programme, the course wizard, a cohort per year group and a report for leadership at the end of the semester.

The dean's office package

  1. Courses from the decks of 3-5 subjects of one programme
  2. A learning programme with a gate and the faculty's logo
  3. A year-group cohort with a welcome and reminders
  4. A CSV report for the faculty board and a survey after the semester
  • The first course the same dayUpload a deck, AI proposes a path, you fix the description and open a cohort. The account takes a minute.
  • A year group as a cohortEntry by link or e-mail code, time windows per course, a welcome e-mail and reminders with no manual work.
  • A report for the dean and the boardProgress per person and module, completions, CSV. You see which course works and where people stall.
  • The faculty's brandThe faculty’s logo and colours on the student screen; a learning programme with its own gate and look.

Postgraduate, executive and continuing education

A student who keeps learning enrols in the next intake

This is the segment that comes back most, as long as there is something to come back to. The intake's library stays after the diploma, and a taster of the new programme lands in it before admissions open.

The postgraduate package

  1. Courses from the current intake's instructors' decks
  2. An "intake alumni" cohort with no end date
  3. A taster of the new programme as the first course in the library
  4. A cohort e-mail and an interest survey before admissions
  • A taster of the next programmeThe first module of a new programme as a course in the alumni library. They try it before they ask about the price.
  • A mailing before admissionsThe cohort gets a message when a new item opens. News about programmes goes out with the student's marketing consent.
  • Certificates with your templateAfter every course a PDF certificate with your logo, for LinkedIn and the file. A test with a pass mark.
  • An intake as a cohortEvery intake has its own code, windows and report; the same courses serve the next intakes without copying.

Alumni relations and career services

Instead of a newsletter: learning alumni come back to

A newsletter is opened once. A library of courses from lectures alumni remember is a reason to return, and the place where new programmes and events are seen.

The alumni office package

  1. Courses from the university's 5-8 most popular lectures
  2. An alumni cohort with e-mail code entry
  3. A quarterly webinar as an event with an attendance list
  4. A "what do you want to learn" survey and programme tasters
  • Access for yearsAn alumni cohort with no end date. An e-mail code instead of a password, so nobody writes "I forgot my login".
  • Something from the university, not a donation askA course from a favourite professor's lecture gives more reasons for goodwill than another fundraising round.
  • Events and webinarsA reunion, a webinar, an open day as an event with an agenda, a quiz and an attendance list in the same library.
  • Consent under controlTransactional e-mails (welcome, deadlines) always go out; news about programmes only with the graduate's marketing consent.

E-learning unit and instructional designers

An AI draft, a designer's edit, a cohort in a week

No building every course from scratch and no SCORM project. Verbalu works next to Moodle or Canvas: a link in the LMS course or in the newsletter leads to the library.

The e-learning package

  1. A pilot: one programme, 5 courses from decks
  2. A description standard and the university's certificate template
  3. A test cohort with a quality survey
  4. A guide for dean's offices on adding courses
  • A draft in fifteen minutes, not a monthAI proposes a path from the deck; the designer reorders, deletes, asks for another module in a sentence.
  • Every module editableReading, quiz, flashcards, gap-fill, test: ordinary tools you can fix one by one or assemble by hand without AI.
  • Next to the LMS, not insteadNo LTI and no SCORM: a link and a code. An alumni library has to live outside the student's LMS account anyway.
  • Accessibility checkedStudent screens are built to WCAG 2.1 AA and checked with axe: keyboard, screen reader, reduced motion.

Authorship and data

What the lecturer keeps, what the student gives, what stays with you

No promises beyond what the code does. Four facts.

  • The lecturer stays the author

The deck is still their material: the name on the course, the file in your folder, and you can close or delete the course at any time.

  • Students give only an e-mail

In link mode they give nothing. In e-mail code mode: an address and a one-time code, no password. Progress goes to the cohort report.

  • You know who processes it

The deck's text goes to the AI model chosen by the Verbalu administrator (Gemini, OpenAI or Claude) only to generate the course.

  • Export and deletion

The cohort report to CSV, PDF certificates, deletion of a course, a cohort or the whole organization on request.

What we do not have: LTI, SCORM, university SSO login and payment collection for courses. The library lives next to the LMS, under a link and a code. Let's talk about a data-processing agreement through the form below.

The paperwork procurement will ask for

A compliance pack you can download, including what we do not have

Four documents sit ready inside the account: the organization’s owner downloads them as PDFs in three languages and sends them to legal or to procurement. They also say what we lack, because a document that declares compliance everywhere is worthless.

  • available now

    GDPR data-processing agreement (Art. 28)

A template with the sub-processors named: Google (Firebase and Gemini), OpenAI (GPT and Whisper for transcription), Anthropic (Claude), Stripe and SMTP mail. The database and files sit in the European Union, the functions in the europe-west1 region, and backups run weekly with 60 days of retention.

  • available now

    Annex with FERPA clauses

For US institutions: school official status, the scope of student data, no further disclosure, and the rules for returning or deleting data when the contract ends. A text for your counsel to review.

  • available now

    HECVAT Lite questionnaire

A filled-in sheet whose answers match the code, including where we come off worse: backups are weekly, so restoring the state from an hour ago is not possible, and deleting an account is a manual process on our side, because there is no button for it in the app.

  • available now

VPAT accessibility report against WCAG 2.1 AA

A self-assessment, not a third-party audit, and it says so on the first page. We name what is only partially supported: no skip link in the signed-in app, and canvas surfaces with no screen reader path. Student screens, ordering and matching questions included, work from the keyboard.

  • planned

    LTI 1.3 integration

It is not in the code and we do not pretend otherwise. Today a course opens from a link pasted into Moodle or Canvas, and results do not travel back to the LMS. Tool registration, Deep Linking and grade passback are a plan without a date.

  • planned

    University SSO login (SAML, OIDC)

It is not in the code. Signing in today means a Google account, e-mail and password, or a one-time code from your inbox; a student enters with a cohort code. SSO would require moving us to Identity Platform, so we call it a plan, not a date.

Without SSO, a student gets in today with a six-character cohort code, with a personal code from the invitation, or with an e-mail address that receives a one-time code. By default only addresses on the cohort list can enter. We never touch accounts in your university directory and never ask for their passwords.

Lecturer copyright

Consent to use a lecture, signed inside the app

A university licence usually stops at registered students, while the library is meant for alumni. The template splits the audience into students, alumni, staff and paid courses, so that nobody has to guess later what the lecturer agreed to. It is a template for your university's lawyer to review, not legal advice.

A standard university licence to teaching material usually covers registered students only, and the economic rights to the slides stay with the lecturer, so a course for alumni, for staff or a paid course needs consent of its own.

The organization owner downloads the template. The signature is given by the registered lecturer on their own account: they type their full name and tick the consent box, while a drawn signature stays optional so the form can be signed from the keyboard. The server stamps the time. In this version we send the lecturer no e-mail and no notification, so you pass the link on yourselves.

  1. Download the template

Three languages, a print version and a plain-text version you can paste into your own contract. The version number stays on the document, so years later it is clear what exactly was signed.

  2. Fill in the scope

Who gets access: students, alumni, staff, paid courses. For how long, whether the author's name is shown on the course, and whether the course may be translated. The university sets the scope; we assume nothing on your behalf.

  3. Send it to the lecturer to sign

The organization owner creates the consent for one named member and passes on the link. The lecturer signs it themselves, on their own account, once. The owner cannot sign for them or change the text after signing.

  4. Keep the signed document

A PDF with the text, the full name and the server's signing time, ready to download for your records. A withdrawal is recorded in the same place, and a signed document cannot be deleted from the app, because it is the proof of the licence.

The university plan

One plan for the whole institution, quoted individually

A university does not buy a plan off a price list; it gets a quote and an invoice. So instead of a figure, here is what the plan holds. The number comes back with the offer.

  • 100 lecturer accounts, students without a ceiling

Only lecturers and staff take a seat. A student account does not count towards the limit, so a whole year group fits inside.

  • 1 TB for materials

A whole faculty’s deck archive, together with the files students download next to the courses.

  • 1,000 AI calls a month

Enough to build the library every month, rather than once a year when a project comes along.

  • Your brand on student screens

Your logo, colours and name, your own certificate template, 10 looks for a learning programme.

  • The compliance pack

A data processing agreement, a FERPA addendum, HECVAT answers and an accessibility report against WCAG 2.1 AA.

  • Signed lecturer consents

A consent template in three languages, sent to the lecturer to sign inside the app, and a signed PDF for your records.

Questions

What dean's offices ask

Do lecturers have to agree?

Yes, the deck is their material. In practice a short consent to reuse it in a university course and the author's name on the course is enough. You can close or delete the course at any time, and the file stays in your folder.

Which files, and how big?

PPTX, PDF, DOCX, plus TXT and Markdown. AI reads the text, not the pictures; a long file is read in parts. The file stays in the organization’s folder, and the university plan gives you 1 TB, which is a whole faculty’s deck archive together with the files students download.

Do students need an account?

No. In link mode they walk in with nothing. In e-mail code mode they type an address, get a one-time code and enter without a password; the same address opens all their cohorts on one page. There is also a cohort password mode.

Do alumni keep access after graduation?

Yes, if you set it that way. A cohort has no end date until you close it. A new course added to the cohort appears for everyone, and the cohort can send a message about it.

Does it replace Moodle or Canvas?

No. Grades, ECTS and classes stay in the LMS. Verbalu is a library of extra value next to it: a link in the LMS course or in the newsletter leads to the portal. There is no LTI, SCORM or university SSO login today.

Do the courses carry ECTS credits?

No, deliberately. They are extra value for students and alumni, not credit-bearing. After a course there is a PDF certificate of completion with your logo and template.

In which languages?

The student interface in English, Polish and Spanish. You generate the course content in one of 38 languages or type your own, so a course from an English lecture for international students works too.

How does billing work for a university?

With a quote and an invoice to the institution, not a card. The plan is counted per organization and per lecturer, not per student: student accounts take no seats, so the size of a cohort does not change the bill. Faculties can have separate organizations on one invoice. The figure comes back with the answer to the form below.

Where does the data go?

The deck's text goes to the AI model chosen by the Verbalu administrator (Gemini, OpenAI or Claude) only for the time of generation. Students' progress is in the cohort report, exportable to CSV. Deletion of a course, a cohort or the organization is on request. Ask about a data-processing agreement through the form.

How good is an AI course, and who checks it?

AI gives a draft: chapters, readings, questions from the deck's text. Someone in the dean's office or the lecturer reads and edits; every module is editable, and rewriting one takes a single sentence of instruction. You publish when the author is happy.
